The lettings process

Once we’ve established your criteria and requirements, we’ll match you to our database to see if we have any suitable properties. If a property is tenanted we need to give 24 hours’ notice to book a viewing and this can be done at a time to accommodate you. Although our opening hours are Mon – Fri, 9am – 5.30pm and Sat 10am – 2pm, our lettings staff can often view out of hours to meet your needs. Once you’ve found a suitable property, we will liaise with the landlord to agree the terms of the tenancy on your behalf. We pre agree everything in writing for you and our landlords sign to accept the conditions. This will include things such as the tenancy start date, the rent, the damage deposit, any special conditions such as decoration, removal of furniture, pets, etc. At this stage you pay a holding fee to secure the property, which comes off the balance payment prior to moving in and we begin the application process. Our Admin team will then guide you through the letting process from providing you with detailed updates on your application, explaining and assisting with any legal questions you may have and giving you the flexibility to sign a tenancy agreement electronically from anywhere in the world. Yes, you can even organise all of this from many miles away within the click of a button.

References

We outsource all of our referencing to a company called Van Mildert; Van Mildert obtain credit reports, previous landlord references (if applicable) and income references (if applicable) on all of our tenants/ guarantors. In the event that you require a guarantor, but you are unable to supply one, we will request that the rent is paid in full for the term of the tenancy. This will always be done with agreement from the landlord. Once references are received and are deemed as satisfactory, the tenancy agreement will be produced and emailed to all parties for signing.

Utilities

If you’d like to rent all inclusive of bills, Acorn can offer you a quotation to make things easier for you.  This means that you pay your share of the utilities yourself and you are not liable for anyone else’s share.

Moving in

During the process and provided your application has been successful, we will have been organising the check in on your behalf.  Normally keys are collected from our office, where you will be given a check-in pack giving you useful information about the property as well as the legally compliant documentation.  If you are moving into a managed property you will be given a detailed inventory, EPC, CP12, HMO (if applicable) manuals and contact information.  If you are moving into a tenant find only property, then this information should be given to you from the landlord.  Our property management department is there to look after you and help you with any concerns you may have.
